Use your AI assistant with HomeCareBilling
Connect the AI app you already use to your agency's HomeCareBilling account. Then ask it which claims were denied and why, what Medicaid paid, which caregivers' training is expiring, and have it log a call or fill in a record for you, in plain English, from your phone or your computer.
Step-by-step setup for Grok, Claude and ChatGPT is below, and any AI app that can add a connector connects the same way.
Before you start
- An administrator turns on AI assistant access, once, for the agency. In HomeCareBilling, go to Settings → AI Access, read the notice at the bottom of this page and accept it. An administrator who connects an app first is shown the same notice while connecting and can accept it there. Until someone does, nobody else at the agency can connect an app, and turning it off later disconnects every app at once.
- Your agency decides about client data. The connector is a window into your own agency's account, opened only by your own staff, under their own logins. The AI app is yours, and its maker is your agency's vendor, not HomeCareBilling's: what you ask the app, and what HomeCareBilling answers at your direction, is between your agency and that company. HomeCareBilling has no Business Associate Agreement with the app's maker for your agency's data, so if your staff will ask about clients, your agency needs its own agreement with them, and a plan of theirs that covers health information. HomeCareBilling keeps the connection itself secure: limited to your agency and each person's role, revocable at any time, and every request on record.
- Use an AI app that can add a connector. Connectors are sometimes called integrations or MCP servers. Under Connect below, Grok, Claude and ChatGPT each have their own steps.
Connect your app
Your HomeCareBilling connector address
https://www.homecarebilling.co/mcp
The same for every agency. Your app asks for it when you add HomeCareBilling.
How connecting works
- In your AI app, add a new connector and paste the address above.
- HomeCareBilling opens. Sign in as you always do.
- If you work for more than one agency, choose which one. Each person connects their own app, under their own login.
- The permission screen lists what the app will be able to see. Tick "make changes for you" if you want it to log calls and fill in records, and tick the separate box for sending claims only if you want it to send claim files. Then choose Allow.
- Back in the app, ask it something from the list below.
Steps for each app
Each app puts the connector in a different place. These are the exact steps for each.
Grok by xAI
- Open Grok on the web at grok.com, or in the Grok app on your phone.
- Go to Connectors (on the web: grok.com/connectors) and choose New Connector, then Custom.
- Paste the HomeCareBilling connector address shown above.
- When HomeCareBilling opens, sign in (and choose your agency, if it asks), tick "make changes for you" if it is shown and you want it to log notes and records, and choose Allow.
- Back in Grok, try: "Which claims were denied last week?"
Claude by Anthropic
- Open Claude on the web at claude.ai. A connector you add there also works in the Claude desktop and phone apps.
- Go to Customize, then Connectors. Choose +, then Add custom connector.
- Name it HomeCareBilling, paste the HomeCareBilling connector address shown above, and choose Add.
- Choose Connect next to HomeCareBilling.
- When HomeCareBilling opens, sign in (and choose your agency, if it asks), tick "make changes for you" if it is shown and you want it to log notes and records, and choose Allow.
- In a new chat, choose + at the bottom left, then Connectors, and make sure HomeCareBilling is switched on.
- Claude asks before it uses a HomeCareBilling tool. Every answer can show your clients' records, so choose Allow once unless you want Claude to use that tool without asking in every chat.
- Try: "Which claims were denied last week?"
ChatGPT by OpenAI
- Open ChatGPT on the web at chatgpt.com and go to Settings.
- Search the settings for "Apps" and open Apps (plugins).
- Choose Browse directory, then Add, then Create MCP App. If you do not see Create MCP App, your ChatGPT plan or your workspace admin does not allow custom apps yet.
- Name it HomeCareBilling and paste the HomeCareBilling connector address shown above as the Connection. Authentication is already set to OAuth.
- Tick "I understand and want to continue" and continue.
- When HomeCareBilling opens, sign in (and choose your agency, if it asks), tick "make changes for you" if it is shown and you want it to log notes and records, and choose Allow.
- Try: "Which claims were denied last week?" If ChatGPT answers from the web or asks you for details instead, tell it to use HomeCareBilling.
What you can ask
Ask in your own words. The app finds the right records in your agency's account and nobody else's. It can never see or do more than you can in HomeCareBilling yourself, and it can only change what you allowed when you connected. Some things are done only in HomeCareBilling itself, such as signing, completing a visit, uploading a claim file or deleting a record.
Claims, denials and payments
Reading: always includedSee every claim file you uploaded and where it got to, which claims Colorado Medicaid did not pay and why in plain English, which it paid less than its published rate, the last day each denied or unpaid claim can still be resubmitted, and each payment it sent.
- "Which claims were denied last week, and why?"
- "Which denied claims must be resubmitted in the next two weeks?"
- "What did Medicaid pay us on the last remittance?"
- "Find Jane Smith's claims for August."
- "Which claims did Medicaid pay less than its rate this quarter?"
Checking and sending claim files
Reading: always included Changes: need "make changes for you" Sending claims: needs its own permissionCheck a claims spreadsheet for problems before you upload it, and send an uploaded claim file to Colorado Medicaid. Sending takes two steps: the app first gets how many claims the file sends and the total, and is told to show you and ask before it sends. HomeCareBilling cannot see your chat, so read what the app shows you before you say yes. A sent file cannot be recalled. When a claim comes back refused, an admin can release its timesheet to be billed again, one claim or a whole batch; anyone can override an EVV warning with a reason or open a follow-up on a denial.
- "Check this spreadsheet before I upload it."
- "Send this week's claim file."
- "Did the file I sent this morning go through?"
- "Release the denied claims in last week's batch so we can bill them again."
What needs doing
Reading: always included Changes: need "make changes for you"Today's reminders and anything overdue (and marking them done), where each work order and timesheet has got to, and counts across the agency.
- "What do I need to deal with today?"
- "Mark Margaret Sullivan's supervisory visit reminder done."
- "Which timesheets for September are not signed yet?"
- "How many active clients do we have?"
Client and caregiver cards
Reading: always included Changes: need "make changes for you"Add a client from an intake sheet, or a caregiver from a hire packet, spreadsheet or scan, with everything it has (or complete one already on file), read a client's or caregiver's card (date of birth, address, phones, email), correct their contact details, set them active or inactive, and mark a client in the Address Confidentiality Program so the location never goes to Sandata, as the card in the app does. Record the outside providers serving a client (adult day care, a CNA, an RN, PT) and the days they come, or mark a client Agency services only. Upload, list, download and tidy the documents on a client's or caregiver's file, as the Documents tab does; a file is downloadable once its virus scan is clean.
- "What is Margaret Sullivan's date of birth and phone number?"
- "Change Anna Petrova's address to 12 Elm St, Apt 4, Denver 80203."
- "Create a client from this intake sheet."
- "Add this new caregiver from the hire packet."
- "Set every caregiver who left last year to inactive."
- "Jane Smith is in the Address Confidentiality Program: protect her location."
- "Margaret Sullivan goes to Sunrise Adult Day on Tuesdays and Thursdays, 9 to 3."
- "Put this signed service agreement on Margaret Sullivan's file."
Agency profile and service rates
Reading: always included Changes: need "make changes for you"Read the agency's name, address, NPI, Tax ID and claim defaults, and, for an agency admin, fill them in or correct them, as the Settings page does. Read, add and correct the agency's own service rates, as the Service Rates page does. Every change is recorded.
- "What NPI and Tax ID do we have on file?"
- "Set our address to 2170 S Parker Rd, Suite 415, Denver 80231."
- "Our default place of service is 12."
- "Add our T1019 U1 rate of $7.26 a unit from July 1."
Members, invitations and integrations
Reading: always included Changes: need "make changes for you"For an agency admin: list the agency's members, invite someone, rename a member, change a role, deactivate and reactivate, and revoke an invitation, as the Settings Users tab does. See the agency's API keys and webhook endpoints, read a webhook's delivery log and send a delivery again. Creating or revoking an API key and registering or changing a webhook stay in Settings, signed in. Anyone can see and revoke the AI app connections they may see on Connected apps.
- "Invite maria@example.com as billing staff."
- "Make Anna an admin."
- "Deactivate John's account; he left last week."
- "Which webhook deliveries failed yesterday? Send them again."
- "Disconnect the ChatGPT connection I made last month."
Pipeline, caregiver broadcasts and notifications
Reading: always included Changes: need "make changes for you"Keep the pipeline of possible clients and caregivers: add one, update them as they move along, convert one at onboarding into a client or caregiver, or delete one. Send a message to every active caregiver, one compliance group, or caregivers you choose by id or tag (former ones included), by email, SMS or both, as the broadcast page does, and read who texted back and who said yes. Read your notifications, mark them read and resolve them.
- "Add Maria Lopez, 303-555-0142, as a potential employee from Indeed."
- "Move the Garcia referral to interviewing."
- "Text every caregiver whose credentials expired that they need to renew."
- "What notifications haven't I read?"
- "Resolve the overdue PAR notification; it was renewed today."
Checklists, CFC programs, report templates and EVV rules
Reading: always included Changes: need "make changes for you"For an agency admin, the Settings list tabs: add, rename, reorder, hide and show the employee-file and compliance checklist items; offer or stop a CFC program and keep its tasks; edit a report template's questions, flags, preset and printed form; and tune, switch and reset the EVV exception rules. A change the page asks to confirm is confirmed with confirm: true.
- "Add a TB test to the compliance checklist."
- "Move CPR to the top of the employee file checklist."
- "Stop offering homemaker CFC, and add laundry, 30 minutes twice a week, to personal care."
- "Add 'Was the caregiver on time?' to the monthly client report."
- "Turn off the GPS distance EVV rule."
Sandata and telephony settings
Reading: always included Changes: need "make changes for you"For an agency admin, the Sandata and Telephony settings tabs: read and save the Sandata connection and sending schedule and test the connection, and set, test or clear the agency's own Twilio number. A read says only whether each credential is saved; revealing one writes the same audit row as the tab's eye icon. Changed Twilio credentials are tested before they are saved.
- "Is our Sandata connection set up, and does it work?"
- "Send visits to Sandata in batches of 200."
- "Switch our telephony to the new Twilio number (303) 555-0100."
- "Show me the saved Sandata username."
Security, notifications, payroll and consents
Reading: always included Changes: need "make changes for you"For an agency admin, the rest of the Settings page: require two-factor sign-in of every member or reset one member's, set the idle session timeout, choose which EDI events email the agency, save the ADP payroll settings, map the agency's CSV columns, confirm the Trading Partner authorization, and accept or revoke the AI Access and API Keys consents. Any member reads and sets their own reminder preferences.
- "Require two-factor sign-in for everyone in the agency."
- "Sign people out after 15 idle minutes."
- "Email us when an 835 arrives, but not for each 999."
- "Our upload calls the Medicaid id column "Medicaid #"; map it."
- "Pause my reminder emails until Monday."
Sandata certification
Reading: always included Changes: need "make changes for you"For an agency admin, Settings > Sandata > Certification: read the checklist and tick steps off or note them, and, in the certification tenant, create the sample clients, employees and visits, check their data format, send Sandata's test cases one at a time (or, in a dry run, only log what each would send), see where each stands, and remove them.
- "How far along is our Sandata certification?"
- "Mark the UAT credentials step done."
- "Create the sample records and check their format."
- "Has Sandata accepted the sample clients yet? Then send the mobile visits case."
- "Dry-run the Adjust 3 visits case."
PARs, Plans of Care, assignments and Work Orders
Reading: always included Changes: need "make changes for you" Sending claims: needs its own permissionEnter a client's PARs from the paperwork and correct them (a new PAR is pending until it is activated, and raising its units needs the case manager's approval with it), read what an active PAR's units not yet billed are roughly worth at the published rate, assign caregivers to clients, create or correct the month of a Work Order for a client and caregiver, or duplicate a Work Order as the page does (keep both, close the previous one, or a temporary one), and see which caregivers' W-4 changes payroll has not been sent and mark one sent. Read and change a client's Shift Plan as its screen does (its days, shifts and start times, a day's marks, a task's figures), generate its Work Orders, and download it as Excel. A completed or archived Work Order is changed in the app, not here.
- "Enter the PARs on this page for Margaret Sullivan."
- "How many T1019 units does Anna Petrova have left?"
- "Which PARs end this month, and roughly how many dollars of care is still unused on each?"
- "Correct the end date on PAR 2210345 to June 30."
- "Activate the new PAR for Margaret Sullivan, and start renewing the one that ends in November."
- "Anna Petrova is eligible for October; record it."
- "Assign Olga Ivanova to Margaret Sullivan for personal care from March 1."
- "Create Margaret Sullivan's October Work Order with Olga."
- "Enter this personal care plan for Anna Petrova: bathing 30 minutes three times a week, dressing daily."
- "Give me Margaret Sullivan's October Work Order as a PDF, the way it prints."
- "Give Margaret Sullivan two personal care shifts a day, Monday to Friday, and generate her Work Orders with Olga."
- "Whose W-4 changes still need to go to payroll?"
Communication log
Reading: always included Changes: need "make changes for you"Read the calls and messages logged for clients and caregivers, log a new one, or correct one. Each note records the channel it came through: the app, MCP or the API.
- "Log a call with Jane Smith's daughter about next week's schedule."
- "What did we last discuss with Maria's case manager?"
- "Note that I texted Anna about her training."
Supervisory visits and monthly reports
Reading: always included Changes: need "make changes for you"See which clients need a supervisory visit, plan the month of each quarter and the day a client's visit falls on, start one as a draft or fill one in, and read or fill in a client's monthly report. The client still signs in person.
- "Which clients are overdue for a supervisory visit?"
- "Start a supervisory visit for John Doe for today, in person."
- "Plan John Doe's supervisory visits for the 10th of the second month of each quarter."
- "Which clients is a supervisory visit planned for in February?"
- "Fill in October's monthly report for Jane Smith: taken by phone, doing well."
EVV visit exceptions
Reading: always included Changes: need "make changes for you"Resolve an EVV visit exception: acknowledge it, correct the visit's times, or dismiss it with a note. Record the exception Sandata raised on a visit it took (15 Unmatched Client ID / Phone or 21 No Show Exception), which sends its acknowledgement to Sandata. See the clocks a closed visit refused, kept for the office, and mark each reviewed once its time is entered.
- "Acknowledge the late clock-in exception on yesterday's visit for John Doe: traffic."
- "Sandata raised a No Show (21) on that visit: record it."
- "Which caregiver clocks did closed visits refuse?"
Critical incidents and complaints
Reading: always included Changes: need "make changes for you"Start a critical incident report or log a complaint, record who it was reported to and what was done, and see what is still open.
- "Which critical incidents are still open?"
- "Record that the fall on Monday was reported to APS today."
- "Log a complaint from John Doe's son about late arrivals."
Caregiver compliance and audit readiness
Reading: always included Changes: need "make changes for you"Training, flu vaccinations, evaluations and background checks for each caregiver, what is expired or about to be, and how ready the agency's files are for an HCPF audit. Keep staff meeting minutes, from draft to finalized, and record the monthly OIG exclusion attestation and each NPI's Medicaid revalidation date, as the Compliance pages do.
- "Which caregivers have training that is expired or about to expire?"
- "Record Anna's flu shot for this year, given October 3."
- "How ready are we for an audit?"
- "When was each caregiver last screened against the OIG exclusion list?"
- "Record this month's OIG attestation: 14 screened, all clear."
- "Our NPI's revalidation is due March 1, 2027; remind us."
Help from HomeCareBilling
Reading: always included Changes: need "make changes for you"Ask the HomeCareBilling team for help, report something that is not working, or check on a request you already sent.
- "Tell HomeCareBilling support that the timesheet print is cut off."
- "What happened to the support ticket I raised last week?"
What it will and will not do
- Sending claims is a separate permission and takes two steps. The app first gets how many claims the file sends and the total, and is told to show you and ask before it sends. HomeCareBilling cannot see your chat, so read what the app shows you before you say yes: a sent file cannot be recalled. If you never tick the box for sending claims, the app cannot send at all.
- It only sees your agency. Every question is answered from the agency you connected, and only as far as your own role allows.
- It cannot sign for anyone. Clients and caregivers still sign in person, and a signed visit or report is not changed through the app.
- Every request about your agency's records is kept for 90 days. What the app asked HomeCareBilling to look up or change, and what HomeCareBilling answered, is kept encrypted for 90 days, so any question later about what an app did can be settled from the record. What you type to the app stays with the app's maker; the app turns it into these requests.
- Everything it changes is recorded. Each change names you and the app you connected, and what a record said before the app changed it is kept. Each note records the channel it came through.
- What people typed reaches the app marked as their words. Notes and narratives are handed over labelled as text someone wrote, which tells the app to treat them as information, not as instructions. That lowers the risk; it cannot remove it, because the app decides for itself. If the app ever offers to do something you did not ask for, say no.
- If your account's billing needs attention, the app still works. It can still read and log notes and records, as HomeCareBilling itself can. Checking or sending claim files may be paused, exactly as it is in HomeCareBilling, until billing is sorted out.
Manage connections
- In HomeCareBilling, Connected apps lists every app connected to your account, and you can disconnect any of them. An administrator sees, and can disconnect, every app at the agency.
- When someone leaves the agency or loses access, their connected apps stop working at the same moment.
- Turning off AI assistant access in Settings → AI Access disconnects every app at the agency at once.
If something goes wrong
- The app says it cannot make a change, or has no way to
- HomeCareBilling tells the app why it refused, in plain English: ask the app for the reason. It is usually one of these: the change needs "make changes for you" or the permission to send claims and it was not given when you connected (disconnect under Connected apps and connect again), the record is signed or completed and is changed only in HomeCareBilling itself, or the action is paused for your account in HomeCareBilling too.
- HomeCareBilling says "Ask an administrator first"
- Your agency has not turned on AI assistant access yet. An administrator turns it on in Settings → AI Access (see Before you start); then connect again.
- The app says to slow down or try later
- HomeCareBilling limits how much each connection, and the agency as a whole, can ask and change in a minute, an hour and a day. The limits are set far above what an agency does in a normal day, and the app is told how long to wait. Wait that long and ask again; if it keeps happening, contact us.
- Anything else
- Ask the app to open a support ticket with HomeCareBilling, or contact us.
Connecting AI apps to your agency's data
Your staff can connect an AI app they choose, such as ChatGPT, Claude or Grok, to your agency's HomeCareBilling account. It works like an API key: once someone at your agency connects an app and allows it, HomeCareBilling answers that app's requests, at your staff's direction, with your agency's own information. What the app does with that information, including passing it to the company that runs it, is between your agency and that company.
That company is your agency's vendor, not HomeCareBilling's. HomeCareBilling is not a party to your agency's arrangement with it, has no Business Associate Agreement (BAA) with it for your agency's data, and does not control how it stores or uses what your staff share. If your staff will ask about clients, your agency needs its own BAA with that company, and a plan of theirs that covers health information.
HomeCareBilling keeps the connection itself secure: only people at your agency can open it, each person sees no more than their role allows, every request is kept on record, and access can be revoked at any time. Until you accept here, no one at your agency can connect an AI app. If you turn this off later, every connected AI app loses access at once.
